A Better WhatsApp Fee Reminder Workflow for Schools

The useful part of WhatsApp automation is not sending more messages. It is sending the right message at a predictable point in the fee cycle.

Before the due date

A short advance reminder can prevent genuine forgetfulness. Include the due date and amount rather than a vague “fees pending” message.

On and after the due date

Change the message based on status. A parent with a partial payment should not receive the same text as a parent with no payment.

Stop rules matter

Automation should stop when payment is recorded or when staff mark a case as disputed, hardship or under manual follow-up.

Receipt confirmation closes the loop

After collection, sharing a receipt gives the parent confirmation and removes uncertainty about whether the payment reached the right student record.
